Who We Are

Rad Conferences is a registration and event platform operated by Radius Group, Inc., 102 S. Tejon St., Ste. 1100, PMB 660, Colorado Springs, CO 80903 ("Radius", "we", "us"). The event you register for is run by its conference organizer. This policy explains what the platform collects, how it is used, and the choices you have.

Radius decides how account, security, support, analytics, and platform-operation information is handled. The organizer decides what registration questions to ask and how to use registration, roster, attendance, accommodation, messaging, and event-content information for its event. If a school or group registers you, its leader may see the registration record for members of that school or group, including contact details, payment status, and answers needed to arrange meals, childcare, or accommodations. Each party is responsible for the decisions it makes.

Where Information Comes From

We receive information from you; from a parent, school leader, or organizer who registers you; from Google or Apple if you choose their sign-in; automatically from your browser or device; and from providers such as Stripe, Twilio, SendGrid, and Expo when they report payment or message activity.

Information We Collect

How We Use Your Information

To process your registration and payment; to run the event (rosters, check-in, meals, badges, communications); to send the messages described in our Terms; to accommodate dietary and accessibility needs you tell us about; to track attendance and issue credit; to produce recordings, transcripts, and recaps; to keep the platform secure; and to understand usage and improve the platform.

Sensitive Answers

Some event forms ask for sensitive information, such as dietary, accessibility, or childcare needs. We explain why each sensitive question is asked and, when a separate yes-or-no permission is needed, ask before you submit your answer. We use it only to provide the requested event service — not for advertising or general analytics. You may contact the organizer if you prefer another way to request an accommodation. These answers are not carried from one event to another; if a later event needs them, it asks again.

Recordings, Photos, and AI

We identify recorded sessions before recording begins. If you choose to ask a question or speak after that notice, your voice and words may appear in the recording, transcript, and recap.

Recordings, transcripts, recaps, and event photos are limited to signed-in attendees of the event by default. An organizer may make a session's recording, transcript, and recap public on the internet. Anyone can then view or download them, and other people may share copies. The organizer's sharing screen explains this before publishing.

Transcription is performed by Deepgram. Google's Gemini AI models create recaps through Vertex AI; our agreement with Google says it will not use the transcripts or session materials we send to train its models, and we have not given it permission to do so. The transcription service may label different speakers with numbers so a transcript is easier to read. We do not compare voices or faces to identify people, create voiceprints or face templates, or use recordings or photos for identity checks.

AI recaps and transcripts can be wrong or incomplete. Check important details against the recording or ask the organizer. The recording itself may also be incomplete, and none of these materials is an official record.

Content You Upload

Content you upload remains yours. You give Radius and the organizer permission to store, copy, resize, and display it only as needed to run the platform and event. Do not post a child's image or personal information without permission from the child's parent or legal guardian.

The Attendee Directory

If the event has a directory, your entry appears once your registration is confirmed, unless you turn it off. Your name may appear there, Depending on your choices, the directory may also show your school or organization, role, profile photo, and bio. It does not show your phone number, dietary or accessibility answers, child information, payment information, attendance records, or other private registration answers. Your email address is shown only if you turn on the option to let other attendees contact you; it is off unless you choose it, and turning it off removes it. You can hide your directory entry in your profile or by asking the organizer.

Analytics and Technical Information

Firebase Analytics uses cookies or a randomly generated identifier to collect pages and screens viewed, features used, session times, approximate location based on your internet address, and browser, device, and app-version information. We use it to understand and improve the platform, not to show targeted ads. We turn off its normal page-view event and send a shortened page address with query strings removed and long token-like segments masked, so passwords, registration answers, claim links, and invitation codes are not sent to analytics.

Browser privacy signals: some browsers send Do Not Track or Global Privacy Control signals. We do not sell personal information or use it for targeted advertising, so these signals do not change those practices. Our site does not otherwise respond to Do Not Track.

Service Providers

Our current providers are below. Most handle information for us under contracts. Some also use limited information for their own security, fraud-prevention, legal, and service-operation duties, as explained in their privacy notices.

Our main Firebase database and file storage are configured in the United States. Some providers may process or store limited information in other countries while providing these services.

What We Don't Do

We do not sell your personal information. We do not use advertising networks or data brokers. We do not use your information to market unrelated products to you, and organizers agree not to reuse attendee contact information for marketing unrelated to their event.

Sharing Your Information

In addition to the directory, photo, recording, organizer, group-leader, and provider sharing described above, we share information when required by law or to protect people or the platform. If Radius or Rad Conferences is sold or reorganized, information may be transferred to the new owner; we will tell you before the new owner makes a material change to how it uses your information.

How Long We Keep Information

When we delete information, we remove it from active platform systems or remove the details that connect it to you. Limited copies may remain temporarily in backups or with service providers, and organizers may keep records they copied or independently control.

Your Choices and Rights

You may ask us to confirm whether we have information about you; give you a copy in a format you can move to another service; correct inaccurate information; delete information; withdraw permission for sensitive information; or opt out of any sale, targeted advertising, or letting a computer make decisions that have major effects on you without human review ("automated profiling"), if we ever begin those practices.

Email info@radiusgroup.us with "Privacy Request" in the subject line and include the email address and event connected to your request. Do not email a government ID unless we specifically ask for one. Someone you authorize may make a request for you where the law allows. We will respond within 45 days, or tell you why we need more time. If we deny a request, reply with "Privacy Appeal" and we will review it and respond within 45 days; you may also contact your state attorney general. We will not deny service or charge you more because you used a privacy right.

You can also update most details in your profile, hide your directory entry, turn off push notifications in the app or your device settings, and reply STOP to end text messages.

Children

Users must be at least 13. A parent or legal guardian must register and manage an account used by someone ages 13-17. For users we know are under 18, we use their information only for the event and platform purposes explained when it is collected. We do not sell it, use it for targeted advertising, let a computer make major decisions about them without human review, or keep it longer than reasonably needed.

A child under 13 may not create or use an account, upload content, or give us information directly. A parent may provide limited information about a child, such as a name, age, dietary need, or event registration detail. We use and share that information only to register the child or provide the requested event service. The parent may ask to see, correct, or delete it.

If we learn that a child under 13 used an account or gave us information directly, we will disable the account and delete the information unless the law requires another response.

Security

Connections are encrypted, access is controlled by security rules and role-based permissions, and full card numbers and security codes are handled only by Stripe. No system is perfectly secure, but if a breach affects your information we will notify you as the law requires.

Changes to This Policy

We may update this policy. We will post the new version and its date, and if a change meaningfully affects how your information is handled, we will tell you before it takes effect.
